How to Incorporate AI Into Your Productive Life

My first contact with AI was way back in 2016. But just like most of us, it was out of curiosity. It was a small app that learned to speak with your help. Slowly, it became smarter as you taught it how to answer you. It was an exciting process, but I didn’t see much future in it because it was constrained.

Back in 2020, AI gained notoriety with the AI art generators. A lot of controversies still surround that issue, as artists struggle to avoid having their art stolen and regulations towards AI globally are still undercooked. As an amateur artist myself, I wanted to explore AI without losing myself in the rabbit hole, and I came up with pretty interesting tools and pro tips to explore this technology without abusing it to the point of no return.

Every time I wanted to try a new AI software, a small fear in me warned me of how this technology would eventually replace me. And while that doubt would suffice to create a whole lot of articles, for this text in particular I will just tell you that I decided to give it a shot. But first I came up with a personal limit, a sort of “AI fair use”

Research

I didn’t come into contact with ChatGPT until I read articles about how it was used by students to simply write their homework. And while these are alarming news, my first thought was, “It was clear that someone was bound to misuse the tool” and it wouldn’t be the first time. There are practically no tools created by humanity that cannot be misused in one way or another.

In this order of ideas, I thought that perhaps it’s not a matter of banning the tool altogether, but learning how to use it properly. So, I decided to give it a shot, I went to ChatGPT, and rather than asking it to write me an article about Greek mythology, I asked “Where can I find information about Greek Mythology.”

The AI provided me with a series of links and a small paragraph describing each. I was able to visit these pages myself, just as if I was doing regular research. I found it interesting, like a librarian handing me ideas rather than doing it all for me.

Proofreading

As a trainer, part of my job is sending emails to different departments and sometimes these emails go to very important people outside of the company. This means that I am representing my company with these emails. Again, I had the chance to experiment a bit with ChatGPT, I wrote the paragraph I wanted to send to the client and then showed it to the AI, requesting to please proofread and improve the paragraph.

The AI complied, but not just that, right under the paragraph, the AI provided a paragraph telling me what it had done with the paragraph. I also provided the AI with a script I was to use at a presentation and asked for recommendations. Instead of changing the paragraph, the AI produced a series of suggestions in the format of, “Consider changing -this- for -that- so you explain better the importance of this metric.”

This was wonderful, not only was the AI delivering wonderfully, but it was also giving me insights so I wouldn’t stay behind. It was simply “do my homework” I was receiving useful insights to improve my writing.

Tone Check

When training agents, I normally have too many things to do at the same time. There’s simply a lot to cover: deadlines, content, and setup. But there is also the agent that will need to talk to you about something personal; we don’t always have the time to provide the agent with this time. The same can happen to people dealing with many customers at once.

The problem comes when we’re too stressed and we could end up offending someone. Sometimes, when we realize we’ve been rude, it’s too late to fix it. I would normally avoid answering messages to agents until I found the time and the patience to respond properly, but sometimes this time is too far away and could not be timely enough for the agent’s need.

Once again, I decided to test the AI for this. I simulated an agent wanting to get some feedback about his score. My first exercise was writing, “You’re too slow” and asking the AI if this was offensive, The AI responded that it could be hurtful, and bingo! The AI identified the tone, so my next test was to ask the AI to rewrite it, the AI produced a sentence requesting the person to pick up the pace because it frustrated me. Clearly, we were up to something, but the message was still too harsh. Then I decided to ask, “Please remove the part about me being frustrated.” The AI rephrased the sentence focusing on the importance of picking up the pace, and I am sure I could have gotten more if I requested hints as to how to improve the speed.

I used a combination of this and proofreading to create better communications and feedback messages. The result is also great but I still double-check everything that the AI produces and I think I won’t stop doing it.

I have to say that out of the three capabilities mentioned so far, this is the one that I am still testing, and while it may be useful, I would advise against its overuse because it could completely cut the connection with whom you’re using it. So, for now, this one will stay for emergencies only.

Brainstorming

Another surprisingly useful capability of the AI I’ve been experimenting with is the power to give ideas and action plans. The experiment consisted of giving certain data and scenarios. I could either ask for solutions or ideas and the AI would provide me with a set of alternatives, for this one, it’s important to provide parameters, especially if you’re on a budget, otherwise, it could offer you ideas that you cannot afford.

Personal Assistant

ChatGPT can be added as a contact on your WhatsApp, Telegram, Facebook Messenger, and more, this allows you to request the AI to be reminded of appointments and reminders. There is still a lot I must research in this area, but I am willing to see how it can help.

Some Limitations

During my time interacting with the AI, I’ve noticed that some topics will result in the answer of the AI responding that it was not built for that or that something is inappropriate. ChatGPT is not designed for counseling or casting its own opinion and controversial topics might result in the AI not responding. In other words, its debate capabilities could be limited by preprogrammed parameters. The AI will also refer you to specialists. There are also chances where the AI is saturated with interactions; this happened to me once and it prompted me to pick if I wanted to receive an email when the AI was back online.

Final Considerations

You may have noticed that for this article I only focused on ChatGPT; the main reason is that it’s easy to access and with these tips, you can use it without basically committing plagiarism or entrusting all of your jobs to it, remember – the idea is to delegate, which means that you will have to check up the result once it’s done rather than just copy and paste it somewhere else.

We are seeing rapid advances in many different AIs, and while some have created controversy due to their gray areas, we cannot deny their usefulness and that if we decide to fully separate from AI, we’re going to isolate ourselves from the advances that are soon to come. My final advice would be to test these AIs and find ways to use them responsibly, as we grow up with them, rather than letting them do it all for us.
